What should I do if my car breaks down and needs to be towed?

  1. During business hours (8:00AM-5:00PM EST), dial the GSA Fleet Vehicle Assistance Center at (866) 400-0411 and Press 1 for the Maintenance Control Center (MCC)

 

  1. If the vehicle is under manufacturer warranty, contact the manufacturer’s Roadside Assistance Program using the toll-free numbers above

 

  1. If you need after hours assistance and the vehicle is not under warranty, contact the after-hours emergency number at (866) WEX-4GSA.

 

  1. On the next business day, contact the MCC or your Fleet Service Representative (FSR) to inform GSA Fleet of the location of your vehicle so repairs can be expedited.

How to use the GSA Fleet Card for maintenance?

  1. For maintenance under $100 - Merchants can either electronically accept the WEX Fleet card or call in the transactions to 866-WEX-4GSA (866-939-4472) to receive a MasterCard number.

 

  1. For maintenance over $100 or for any accident damage. Merchants must contact GSA Fleet for authorization prior to doing the work at 866-400-0411.

Using a vendor that does not accept the GSA Fleet Card

The GSA Fleet card uses MasterCard over the phone as a backup. For maintenance and fuel purchases, call 866-WEX-4GSA (866-939-4472).

What should I do if I am involved in a car accident?

  1. Stop immediately and turn on emergency flashers

 

  1. Take steps to prevent another accident at the scene

 

  1. Call a doctor or ambulance if necessary

 

  1. Notify police

 

  1. Do not sign any documents or make any statement as to who was at fault, except to your supervisor or to a Federal Government Investigator

 

  1. Get the name and address of any witnesses. Ask them to complete the SF 94, Statement of Witness Form, contained in your vehicle’s information packet

 

  1. State your name, address, place of employment and supervisor’s name. Upon request, show your operator’s permit and vehicle registration card. (Note: Only Government owned or leased vehicles registered in the District of Columbia or displaying state tags have registration cards.)

 

  1. Complete form SF 91, Motor Vehicle Accident Report, at the scene. If conditions prevent this, make notes of the following:

 

  1. Registration information for other vehicle(s) (owner’s name, owner’s address, tag number, VIN, and vehicle description)
  2. Information on other drivers (name, address, operator’s permit number, and expiration date)
  3. Name, address, and phone number of each person involved and extent of injury if any
  4. Name, address, and phone number of company insuring other vehicle(s) and insurance policy number
  5. General information such as location, time, measurements, weather, damage, etc.

 

  1. For proof of fault, submit a copy of the Police Report along with the SF 91. *Please Note* If you are injured, have the police notify your supervisor who will assume your responsibilities in reporting the accident.

 

  1.  If you have a camera, take photos of the accident scene any damage to the vehicles involved. Submit the photos with the SF 91.

 

  1.  Notify state, county or local authorities as required by law and call the Accident Management Center (AMC) at (866) 400-0411 (8:00 AM- 5:00 PM)

 

  1. If the vehicle is unsafe to operate, call the AMC at (866) 400-0411 (8:00 AM- 5:00 PM)

 

  1. After 5:00 PM EST, if your vehicle is less than 3 years/36,000 miles, it may be covered under a manufacturer’s Roadside Assistance Program. Contact the appropriate manufacturer at the toll-free numbers listed above. Towing and minor services may be arranged at no extra cost.
  2. If the Roadside Assistance Program does not apply to your vehicle, contact the After Hours Emergency toll-free number at (866) WEX-4GSA

 

  1.  Submit all reports and data to your supervisor within one working day. Your supervisor should fax them to the AMC within five days.

 

  1.  Injuries should be processed through your agency personnel office using a CA-1 form.

How do I use the Fleet Service Card for fuel?

1. Select Credit at the pump

2. Enter odometer reading

3. Enter your 6-digit PIN located on the bottom left of your card. This number should also match the 6 digits on your license plate.

4. Be sure to select proper fuel. Use of mid-range, premium or full-service fuel is prohibited.

5. If the card is declined, call WEX at the number on the back of the card, 866-WEX-4GSA (866-939-4472) and they will supply the merchant with an alternate payment over the phone

General Rules

  1. The IRS regards the provision of residence-to-work transportation in a government-provided vehicle as taxable income.

 

  1. Keep the GSA WEX card in a secure place. Do not store the card in the vehicle. Your agency is liable for fleet card misuse or any losses.

 

  1. Obey traffic laws. You are personally responsible for traffic or parking violations.

 

  1. Do not transport family, friends, or non-government employees outside of your agency’s mission.

 

  1. Do not smoke inside fleet vehicles.
